SSU Club Activity Update

 
Dear SSU Club Executives,
 

As of March 11th, 2020, the World Health Organization declared that the coronavirus (2019 Novel Coronavirus, COVID-19, or 2019-nCoV) can be classified as a pandemic. As we continue to monitor the situation, we wanted to express our commitment to the safety and wellbeing of our clubs and community. 

As of March 13th, 2020, Sheridan College has announced that all classes will be suspended next week (March 16th-20th) and then resuming classes in alternate formats starting on March 23rd. Sheridan College has also indicated that events and gatherings will be cancelled until the end of the winter term.

This cancellation of events and gatherings will extend to all SSU club events and club meetings for the remainder of the winter semester. All club events currently in place will be cancelled effective immediately and it is highly encouraged that all clubs suspend any gatherings and meetings for the remainder of this semester.  No new room bookings for meetings or event request forms will be accepted for the remainder of this semester.

 As such, it is encouraged that all clubs submit any outstanding reimbursements for any items that are already purchased immediately.  The following reimbursement situation will apply for any outstanding reimbursements on already purchased items up until Friday, March 13th:

  • Download and fill out the reimbursement form through the SSU website. 

  • Scan/upload/take a picture of all original receipts while initialling and dating the receipts (similar to how it was originally done on Clubs Corner).

  • Email a scanned copy of your reimbursement form along with the pictures of your signed original receipts to the Clubs Manager, Chloe Naftel at chloe.naftel@sheridancollege.ca

DO NOT drop off any reimbursements in person to our SSU Offices at this time.  Any reimbursements received at our offices will not be processed in a timely manner.  

Your cheques will be processed and then mailed out to the address that was provided to us on the Cheque Delegation form. Reimbursement cheques will not be available from pickup from our offices at this time – you will only receive them in the mail. 

As all events and meetings for clubs are cancelled, it is expected that clubs will not incur any further costs for the remainder of this semester.  However, if you are expecting to incur costs throughout this time, please connect with Chloe immediately before purchasing any items.  All costs incurred for items purchased starting next week, and for the remainder of the semester, will be assessed on a case by case basis and may be declined.  

Your cooperation is required at this time to uphold these changes and directions for your clubs so that we can keep our Sheridan club community safe and healthy throughout these turbulent times.
