Part-Time, Student Position (Oakville, TRC Campus)

    It is important to note that this position covers various responsibilities and should be ever-changing and adaptive. Finance will provide full training and ongoing support to the 

    Co-op student in this position to ensure the individual gets the full experience and builds a solid foundation toward an accounting career. 

    This position will support Finance to complete the following tasks:

    • Accounts Payable – A full cycle of accounts payable, including prompt payment of invoices, expense reimbursements, and other cheque requests on a weekly basis

    • Accounts Receivable – A full cycle of accounts receivable, including prompt issuance of AR invoices and follow-up to ensure invoices are collectible within 60 days

    • Corporate Visa Expense Entries – Responsible for sending out visa statements, following up on any outstanding visa reconciliations, and preparing journal entries

    • Bank reconciliation – Assist with completing bank reconciliation and month-end journal entries as needed

    • POS Sales – Assist with POS daily sales journal entries on a weekly basis

    • Financial Reports – Distribution of monthly Actual vs. Budget reports to directors

    • Adobe Sign - Initiate Adobe Sign to obtain approval signatures upon request

    • Cash Custodian - Oversee Trafalgar office petty cash and required supporting documentations and periodic petty cash reconciliation

    • Internal Chargeback Journal Entries (JEs)– Prepare internal charge-back journal entries on a timely basis

    • Club accounts – Complete journal entries to transfer funds into club accounts upon request

    • Finance Committee – Assist with coordinating Finance Committee meetings and updatingof minutes, other workshops and trainings

    • Finance initiatives and projects - Assist with coordinating finance events and projects

    • Payroll - Assist with collecting T4A Self-Employed forms, and issuing T4A tax slips at year-end

    • Co-op position - Assist with recruiting the Accounting Clerk co-op position and provide the necessary training

    • Insurance renewal – Assist with completing the insurance renewal applications as required  

    • Finance Policies - Assist with updating the Finance policies and procedures as required,and report any non-compliance issues to the Finance team

    • Incorporate profile – Periodic updating of the board of directors and executive officers on OnCorp

    • External Audit - Assist with interim and year-end audit, including audit working papers and other supporting documents as required

    • Internal Audit – Assist with various internal audits such as Visa reconciliation, inventory count, petty cash and others as required

    • Records – Ensure records are accurate, complete, and up to date, such as disbursement records, visa reconciliations, customer invoices and payments, and others

    • Team meeting – Participate in finance-related meetings, assist with taking meeting notes,and update tasks status regularly

    • Update all Finance forms and other related documents on OneDrive or Teams as required

    • Other ad-hoc duties as needed

    QUALIFICATIONS

    • Currently enrolled in a degree or diploma program in Accounting at Sheridan College

    • Excellent communication skills, including verbal, written, and interpersonal skills

    • Able to work both independently and cooperatively as part of a team

    • Effective time management and organizational skills to meet tight deadlines

    Reporting to the Assistant Services Manager, the Customer Service Representative will be the main contact for all students’ inquiries related to the SSU and our services. The Customer Service Representative works closely with students as well as SSU Executive team and professional staff.

    Specific Duties Include:

    • Answer front line questions regarding all SSU services including Health and Dental plan, Food First, Legal Resource, Graduation Photos, Tax Service etc.

    • Promote services offered by the SSU by explaining what we offer, how to use the service, and the features and benefits of the service

    • Ensure all emails, voicemail, live chat messages and virtual platform (when applicable) are answered in a timely manner and any serious issues are escalated to the appropriate manager

    • Recording a detailed daily log of completed tasks, pending tasks, student inquiries, and student feedback

    • Work with all team members in a fair and respectful manner in accordance with legislation and SSU Policy and Procedures. Contribute ideas in relation to operational efficiency and service standards and make recommendations to the Director of Services and Assistant Services Manager

    • Participate in virtual and in-person events, info-sessions, engagement activities, Open House and Orientation when needed

    • Mandatory attendance at all relevant training and team meetings

    • Perform other duties as assigned throughout the year by the Assistant Services Manager and Director of Services

    • Booking and coordinating college classrooms, boardrooms, and tables for SSU Clubs, SSU Executives and SSU Staff (if restrictions are lifted by the college regarding campus access)

    • Cleaning and tidying of CSR work desk

    • Doing facility checks in our spaces and troubleshooting/fixing anything that may fall under our department
      Coordinating and sorting interoffice mail, follow guidelines for distributing packages shipped to our offices.

    • Wear provided uniform for every scheduled shift

    As a Content Marketing Assistant you will be a creative force behind some of the Sheridan Student Union’s most engaging website content. From creating copy for upcoming events and student savings pages, to curating the Sheridan Life Blog content and interactive quizzes, you are responsible for creating consistent, accurate and accessible copywriting for a wide range of SSU initiatives from food, events, clubs, student governance, and services.

    You will report to the Assistant Manager of Marketing and Communications and Director of Marketing, Communications and Creative.

    Event Pages

    • Develop creative, concise and engaging copy for SSU event pages

    • Draft, edit and publish approved event pages to the SSU website in alignment with SSU’s Brand Voice, SEO objectives and accessibility requirements

    Blog Content Curation

    • Curate the 2024 – 2025 Sheridan Life Blog Content Calendar alongside the Assistant Manager, Marketing and Communications

    • Brainstorm relevant and intentional blog topics that align with the student life cycle and SSU organizational objectives

    • Pitch blog content to fellow students

    • Edit, Draft, Schedule and Publish Sheridan Life Blog Content written by fellow students in a timely manner and in accordance with the Accessibility for Ontarians with Disabilities Act (AODA)

    The Executive of Advocacy’s primary role will be to represent the marginalized communities within Sheridan and provide insight into accessibility challenges that students may be facing. This includes, but is not limited to, the 2SLGBTQIA+, Black, Indigenous, and equity-seeking communities. Your advocacy work will extend beyond Sheridan to include college, municipal, and governmental stakeholders. You will also influence and assist in writing our organizational Advocacy Policies.

    Advocacy

    • Advocate for the fair treatment of all Sheridan students academically, personally, and professionally;

    • Coordinate student outreach to support students and guide them to the most appropriate service for the issues they may be facing;

    • Determine gaps in support and resources for students from all communities from an SSU and college perspective;

    This role will focus not only on the Sheridan community, but the surrounding community as well. Bringing in external partners to offers perks, opportunities, and services to students, and facilitating opportunities for Sheridan to engage with the local community in a variety of ways.     • Perform daily and weekly cleaning tasks as prescribed by the Food & Beverage Manager.

    • Remove garbage, organic, and recycling items efficiently and safely.

    • Be mindful of personal appearance and outlet appearance at all times – this includes being in proper uniform, keeping hair tied or covered, wearing gloves, and washing hands thoroughly.

Part-Time, Non-Student Position (All Campuses)

    The Events Team Supervisor plays a key role in delivering student-focused events at SSU. In carrying out the duties of this position, a great deal of responsibility is exercised with the final overview by the Assistant Manager, Programming & Events. It is also important that the Events Team Supervisor works closely with the Assistant Manager to ensure that they are up to date on the basic overall operations of SSU’s student events and activities. In all activities, it is crucial that the Events Team Supervisor recognizes that service to students is a top priority.

    SPECIFIC RESPONSIBILITIES
    - Assist in the planning, implementation, and execution of programming and events at all Sheridan campuses, including all student life programming, SSU Catering events, and other external opportunities that arise
    - Support creation of event plans and event layouts for each event as well as Eventbrite pages for Programming department events and external/club requests
    - Assist in purchasing and acquiring supplies and prizes for activities and events, working within a given budget and submitting proper purchase request forms and receipts
    - Work alongside campus teams, holding regular meetings, scheduling staff for shifts, and creating regular communications specifying event instructions and other necessary details
    - Collect feedback pre- and post-events, manage feedback emails and construct a monthly engagement draft based on feedback analysis
    - Propose new ideas to improve the event planning and implementation process through Event Debrief forms
    - Execute events at maximum potential and meet event goals/targets in line with the current needs of students, including hosting duties
    - Support on-site production, setup, and clean-up for events, coordinate with external and internal vendors on collaborative projects
    - Manage inventory of event materials and organize on-site storage spaces
    - Operate in accordance with the Vision, Values and Mission, as well as the by-laws and policies of the SSU long-term strategic plan
    - Act as venue operation lead, understanding how each venue’s facility functions with sound and production and provide strong customer service skills for all potential stakeholders using the venue.
    - Assist in developing and implementing training and onboarding practices for incoming and returning staff, including creating a continuity package that highlights the year of events proposals/advance dockets, events, post-evaluation forms, and event budget requests, and any other training       materials that would be helpful
    - Assist in the creation of an “event toolbox” for each campus, containing all essentials for every standard event hosted throughout the year
    - Other duties as assigned by the Director and Assistant Manager, Programming & Events
    - Assist in the successful implementation and execution of risk management strategies

    QUALIFICATIONS
    - Passion for creating student life programming, an eagerness to learn, and a proactive attitude, developing on an existing skillset and expanding their knowledge and understanding of the world of student life programming
    - Understand what the student community wants to experience, advocate for it, and apply that knowledge to programming brainstorming sessions
    - Demonstrate strong leadership and interpersonal skills leading a group of event assistants throughout the event calendar year
    - Strong organizational and problem-solving skills and attention to detail with the ability to prioritize and work effectively, both independently and within a team
    - Flexible hours required as there will be some shifts in evenings and on weekends
